Booking / Payment Procedure

All bookings made with South Asiaa Treks (SAT) are accepted after receipt of the completed booking form and non-refundable deposit of US$ 200 per person and your holiday insurance as deemed appropriate. You will also be sent a proforma invoice for the balance of payment, which we require 45 days prior to your arrival in Nepal. If we do not receive the payment in time, SAT reserves the right to cancel your bookings. If the booking is made only 4 weeks before the arrival date then full payment must be made for the booking to be confirmed. Balance should be paid after your arrival in Kathmandu, before your trip departure. Payment is accepted via Account Payee banker’s draft or by telex transfer. Detailed payment instructions are printed on your Invoice. Upon receipt of your booking form we will also send you additional pre-travel information including a list of personal clothing/equipment is needed.

When we confirm your booking we assume that you realize and accept the potential risks and hazards that can be involved on trips of this nature. It is also understood that you have the mental and physical capacity to participate in the activities demanded. It is your full responsibility to bring with you the proper clothing and equipment, which we inform you in our printed information on all trips. SAT, our guides and leaders as well as anyone else working in association with us cannot be held responsible for any accident or mishap that may occur in connection with any part of, or services connected with the trip.

Important: At the time of booking it is requested that, if possible, you advise us of your international flight arrival details.  We are also happy to assist you with booking Kathmandu hotel accommodation, airport/hotel transfers, or any other SAT service. Please advise if assistance is needed and we can forward more details.

Cancellation Policy

You, or any member of the party may cancel your arrangements at any time providing that the person whose signature appears overleaf communicates the cancellation to us in writing.  Since cancellation incurs administrative costs we will retain your deposit and in addition will apply cancellation charges as follows:

Sum of cancellation charge shown  as a percentage of total tour/trek price
More than 30 days
Deposit only
16-30 days
50% of total package
Less than 10 days
100% of total package

General Conditions

  • Ravel Nepal (such as flight cancellation, road blockade, etc.) a 50% refund of the daily trekking charges will be affected after the agreed start date of the trek.

  • If a trek is extended at the client's request beyond the original terminal date of the trek, extra days will be charged in full.

  • There is no charge made for extra days spent waiting in Lukla in case of cancellation or non availability of flights / transportation at the end of a trek.

  • Regarding Tibet, Bhutan, India tours and treks, cancellation policy will be applicable as their respctive.

 

       ~Any refunds payable can usually only be made as government due to strict foreign exchange controls.

  • Unless made by prior arrangements, South Asiaa Treks (SAT) accepts no responsibility for the following:

  • Payments of meals or hotel bills in Kathmandu should a charter or scheduled flight fail to leave Kathmandu or reach its destination for reasons beyond the control of SAT.

  • Payment of flights or other transportation not arranged by SAT.

  • Lodging or meals should anyone wish to return from a tour / trek early or any other reason.

  • Refunds or compensation or any unused accommodation, flights or any other service or feature of the trip that you did not use.

  • Payment of helicopter or other aircraft evacuation, hospitalization, medical treatment or drugs in the event of accident or emergency.***

  • Your own responsibilities include preliminary arrangements including your passport, visa, custom and other government formalities. We cannot be held responsible if these cannot be completed in time for departure.

  • Occurrences covered under the Assumption of Risk and Release form, which all clients are required to sign before departure on their tour / trek.

  • All baggage and personal effects are at all times at the client's responsibility.
     

***Insurance

To take part of this holiday you must be covered by insurance, which must include the cost of repatriation and helicopter rescue including travel and medical bills if you became too ill to continue.

If rescue evacuation is required during the trip due to sickness or injury, you can send a message through one of our staff to our Company. We will try to send helicopter or other means of quick transport as soon as possible. The amount for such Helicopter cost and other related expenses to be settled by party after their arrival in Kathmandu from the trip or before the international departure to respective destination by Cash, Travelers Cheques or Credit Cards.

Price increase

Any unforeseen cost increases beyond our control will be passed on directly to the client whenever such increases occur.  This could include such items as airfares, fuel costs, government taxes, currency exchanges etc. In some cases an increase might also occur if group numbers drop below the agreed number that the trek/tour was originally coated for. 

Change of Itinerary/Camp sites

SAT reserves the right to change or alter any itinerary/camp sites at any time for reasons beyond the control of South Asiaa Treks.  These could include but are not limited to adverse weather conditions, cancellation of flights, political unrest, strikes or government restrictions in certain areas.
